The simple way to make a PDF is to save your document as one. Then upload the file to your site and link to it with an HTML link. We show the steps and the code below.

Make the PDF

Most programs can save a PDF. Pick the one you already use.

  1. Use Microsoft Office

In Microsoft Office 2010 or later, click File, then Save As, and choose PDF as the file type.

  2. Use Google Docs

In Google Docs, click File, then Download, and choose PDF.

  3. Use an older Office version

If your Office is older than 2010, download Apache OpenOffice and install it. Create your document and export it as a PDF.

  4. Name the file well

Use a short name with no spaces, such as price-list.pdf. Keep the file small so it opens fast.

Upload the PDF in WordPress

If your site runs on WordPress, the Media Library does the upload for you.

  1. Open the Media Library

In the WordPress admin, click Media > Add New.

  2. Upload the file

Drag your PDF into the box, or click Select Files.

  3. Copy the file URL

Click Media > Library, open your PDF, and copy the File URL on the right.

  4. Link to it

Edit your page, select the link text, click the link button and paste the URL.

Link to the PDF with HTML

On a plain HTML site, you upload the file with FTP or your hosting control panel. Then add a link to the file in your page, like this.

HTML
<a href="path/to/your/PDF.pdf" title="information that describes your PDF">Visible link to the PDF</a>

Replace the path with the address of your file. The title describes the PDF, and the visible link is the text your visitors click. Use plain straight quote marks in your code. Curly quotes copied from a word processor break the link.

Open the PDF in a new tab

Some visitors like the PDF to open in a new tab, so they keep your page open. Add a target to the link.

HTML
<a href="/files/price-list.pdf" target="_blank" rel="noopener">Download our price list (PDF)</a>

The rel part keeps the new tab safe. Use words that say what the PDF is, such as Download our price list (PDF). Good website design puts that link where visitors expect it.

Plugins and what to do if it fails

Several WordPress plugins now show a PDF on the page just like a web page. Search for WordPress plugins that show PDFs, and you should find one that works well. Check the reviews and rating, and always download plugins from the WordPress Plugin Repository.

Think about whether a PDF is the right choice. A PDF is good for a price list, a menu or a form people print. For plain information, a normal web page is easier to read on a phone and easier for search engines to find.

Add the word PDF to the link text, so visitors know a file will open or download. Mention the file size if it is large. People on a slow connection will thank you.

If the link gives a not found error, check the path and the spelling of the file name. File names are case sensitive on most servers.

If the file is large, compress it before you upload it. A PDF over a few megabytes can load slowly on a phone.
